What are wireless collaboration systems?

Wireless collaboration systems enable one or multiple presenters to easily share information from their own devices to a display wirelessly, switching between presenters seamlessly or with some systems, screen sharing from multiple devices.
In most cases, there is no software to install, no subscription service, no cables to untangle, it's simply plug-and-play. Most wireless presentation devices are user friendly and don't require special training so no time is wasted and meetings are enhanced rather than hindered by technology.

How do wireless presentation systems work?

Wireless presentation systems usually consist of a base station that is permanently connected to a display or projector via HDMI (and if need be to a local network for maintenance and updates) and often one or more "buttons" connected to laptops and notebooks via HDMI and USB to allow you to share content with one press of the button without having to install software or drivers.

Some systems also allow you to share directly from a tablet or smartphone wirelessly using a free app.

Connect the "button" to your laptop, press it and that's it. It's that easy!

Is wireless presentation secure?

Most manufacturers take security seriously and have implemented safety features such as Wi-Fi Protect Access and wireless encryption. For example, BenQ InstaShow uses AES 128-bit encryption, NovoConnect includes AES-256 encryption and Barco ClickShare are ISO27001 certified.

Not all systems feature the same level of protection so if your data is sensitive, make sure you choose a system with enhanced security.

Which options are available for wireless collaboration systems?

There are several options on the market from entry level to more advanced enterprise models, the more popular options being from Barco, BenQ, Vivitek, Mersive and Airtame.

• Airtame 2

Airtame 2 is a simple, low cost solution which consists of an adapter connected to a display via HDMI. You can then screen share from your devices including laptops, tablets and smartphones via the Wi-Fi network using AirPlay, Google Cast, Miracast or the Airtame app.

An interesting feature of Airtame 2 is that when you are not actively presenting and screen sharing, you can show digital signage content on your display from the device.

While a subscription is not necessary to use Airtame, you can buy one for access to additional features like fleet management and more advanced digital signage.

• BenQ InstaShow

The BenQ InstaShow range includes three options, depending on the features you need, starting with the InstaShow WDC10 and the WDC10C followed by the more advanced WDC20.
All three systems come with a base station (InstaShow Host) and two InstaShow Buttons as standard (you can buy additional buttons so more presenters can join in in meetings).
InstaShow's strengths are being plug and play (no software or drivers required) and enterprise class security.

The InstaShow WDC10 and WDC10C allow wireless screen sharing from a single laptop at a time to a display, with a resolution of 1080p and you can pair them with up to 16 transmitters so up to 16 presenters can participate and share their screen (not simultaneously).
The WDC10 connects to devices via HDMI + USB while the WDC10C connects via USB-C.

The InstaShow WDC20 allows wireless sharing from laptops, tablets and smartphones with a resolution up to 4K. It features split screen so up to 4 presenters can share their content on the display at the same time. Finally the WDC20 can be paired with up to 32 transmitters so even more people can join in meetings.

• Vivitek NovoConnect

Vivitek NovoConnect offer a wide range of options to suit different requirements, from simple wireless sharing to wireless collaboration with digital signage and video conferencing support.
Base units are available to purchase on their own to be used over the wireless network and if required, for example when you need a direct connection between the laptop and base unit, you can also buy the Launcher buttons separately.

All NovoConnect base station models feature AES-256 encryption, dual networks to separate guest and employee networks and a password-protected configuration.
They also include quad split screen (except the NC-X300 which has dual split view), 1080p resolution on four of the models and 4K resolution on the higher end models NC-X700 and NC-X900. The NC-X700 and NC-X900 also include digital signage and Miracast support.

There are three options of button transmitters: LauncherOne, LauncherPlus and the LauncherPlus USB-C which offers the same features as the LauncherPlus but with USB-C connectivity. They are plug and play solutions allowing presenters and guests to collaborate without accessing the local network or needing any software installation.
The LauncherOne is specifically designed for companies with strict Data Loss Prevention (DLP) and IT security policies that lock USB ports for storage devices and do not allow corporate network-based wireless presentation solutions.

• Barco ClickShare

Barco is a market-leading manufacturer in wireless collaboration solutions.
Their ClickShare range of wireless presentation devices currently includes five models for various applications from huddle space to boardroom.
For information, the ClickShare range also includes three ClickShare Conference solutions which are designed to integrate with conferencing systems but, for comparison purposes, we will focus on the original ClickShare models here.


Like the BenQ InstaShow systems, the Barco ClickShare solutions feature a base station receiver which is connected to a display via HDMI.
The CS-100 Huddle model developed for huddle spaces doesn't come with any transmitter "button" and is designed to be used over Wi-Fi via the ClickShare app. Sharing one user's content at a time (with up to 8 simultaneous connections for easy switching), the CS-100 Huddle has an output resolution of full HD 1080.
The ClickShare CS-100 model designed for small meeting rooms includes one button as standard and like the Huddle version, it allows one user to show content on the screen at a time (up to 8 simultaneous connections), with a resolution up to full HD.
The ClickShare CSE-200 and CSE-200+, which are commonly found in meeting and collaboration rooms, come with two buttons and both allow simultaneous connections of up to 16 users and two presenters can share their content on screen at the same time in a two way split screen. While the CSE-200 as an output resolution up to full HD, the CSE-200+ as an output of 4K UHD.
The flagship CSE-800 includes four buttons as standard. Designed for larger meeting rooms and boardrooms, it features two HDMI outputs allowing for content to be shared over two displays. With output resolutions up to 4K DCI, up to 8 users can show their content at the same times (4 per display) and up to 64 presenters can be connected simultaneously. Two network connections also allow the separate and simultaneous connections to different networks (e.g. corporate network and guests network) providing additional security.

Additional buttons are available separately, allowing a maximum of 8 to 64 simultaneous connections depending on the ClickShare model being used.

• Mersive Solstice

Mersive Solstice, like Airtame, uses a base station or Pod connected to a display and users download an app to their laptop or mobile device to start sharing wirelessly over a local network. 

Mersive Solstice comes in Standard or Enterprise versions, with the Enterprise Edition provides additional access to Solstice Dashboard, Discovery Service and Kepler which allow central monitoring, management and optimisation of a fleet of Solstice devices with meeting room analytics.
In addition a Small Group Edition (SGE) and Unlimited Edition are available. The SGE allows up to 4 participants to be connected at the same time while the Unilimited Edition, as the name suggests, allows any number of users to connect.

Subscriptions are available to gain access to new features via software updates and live technical support.

Because it is software based, Mersive Solstice can integrate with various tools like video conferencing (Logitech Tap, Logitech SmartDock, Logitech Screenshare) or digital signage (Appspace, Carousel)
